Pickup and delivery handoffs
A clear handoff identifies the authorized owner or agent, the vehicle being moved and the agreed destination. The pickup contact and receiving contact may be different people. State who can approve changes, how keys will be handled and where the vehicle should be delivered. Document existing damage from a safe position and retain the service record. Do not assume a driver can release a vehicle from an auction, shop, storage facility or private property without that facility’s authorization. Requirements vary, so confirm them before pickup.
Vehicle owner not present at pickup
For an unattended pickup, describe authorized contact and key arrangements. Permission and access must be confirmed in advance.
Someone else arranging the tow
For a representative requesting service, describe owner authorization and responsible contact. Explain who has authority to approve the movement.
Seller-to-buyer towing handoff
For a purchased vehicle release, describe seller approval, keys and receiving details. Confirm the sale handoff before dispatch.
Repair-shop release paperwork
For a vehicle being released by a shop, describe release contact and any facility requirements. Transport cannot override the shop’s release process.
Auction release paperwork
For an auction-yard pickup, describe release documents and yard hours. Confirm the yard’s requirements before sending a truck.
Vehicle condition before pickup
For a pre-pickup condition record, describe existing damage and vehicle configuration. Photos should not require unsafe inspection.
Personal items before transport
For items inside a vehicle, describe loose objects and owner instructions. Remove valuables when safe and permitted.
Key handoff at pickup
For working vehicle keys, describe key availability and recipient contact. Confirm how the keys travel with the vehicle.
Key handoff at delivery
For keys delivered with a vehicle, describe approved recipient and facility instructions. Do not assume an unattended key drop is authorized.
Delivery contact cannot be reached
For an unavailable receiving contact, describe alternate number and agreed unloading instructions. Delivery needs a confirmed acceptance plan.
Vehicle delivery behind a locked gate
For a gated delivery location, describe gate contact and authorized opening procedure. The driver needs access before unloading.
Documenting delivery condition
For a receiving condition check, describe visible condition and delivery contact. Review the handoff without obstructing the operator.
Keeping a towing service record
For transport documentation, describe pickup, destination and service details. Retain the record for your own vehicle history.
Confirm the service and handoff
Before a vehicle or load moves, discuss the equipment, actual pickup access, destination and receiving contact. Ask what the quote covers and which details remain unresolved. A form or text is a request; wait for dispatch to confirm the arrangement.
Read about the related service, review pricing factors, or send your request. For time-sensitive coordination, call dispatch. Contact emergency services first if there is immediate danger or injury.
